Jill’s Office LLC (“us”, “we”, or “our”) operates the www.jillsoffice.com website (the “Service”).

This Privacy Policy describes how we collect, use, and disclose personal data when you use our Service, and the choices you have regarding that data.

We use your data to provide and improve the Service. By using the Service, you agree to the collection and use of information in accordance with this policy. Unless otherwise defined here, terms used in this Privacy Policy have the same meanings as in our Terms of Service, available at https://jillsoffice.com/terms-of-service/, and, for visitors to our website, our Website Terms of Use, available at https://jillsoffice.com/website-terms-of-use/. By submitting information through the Service, you agree to the terms of this Privacy Policy, our Terms of Service, and, where applicable, our Website Terms of Use. If you do not agree, please discontinue use of the Service.

This Policy covers our website, jillsoffice.com, and applies to visitors, prospective clients, and clients of Jill’s Office. Where we provide answering-service, AI call-handling, texting, live chat, or lead-routing services on behalf of a client, we may also collect and process information about that client’s own customers and callers (for example, a caller’s name, phone number, or the content of a call or text). We process that information as a service provider acting on the client’s behalf and under the client’s instructions; it is addressed by the client’s own privacy notices to its customers, and by Jill’s Office only as described in this Policy, including the “Call, Text, and Chat Data” and “AI Call Handling and Call Data Use” sections below.

Definitions
  • Service – the www.jillsoffice.com website operated by Jill’s Office LLC.
  • Personal Data – data about a living individual who can be identified from that data, alone or combined with other information in our possession or reasonably likely to come into our possession.
  • Usage Data – data collected automatically through use of the Service or the Service infrastructure (for example, the duration of a page visit).
  • Cookies – small files stored on your device (computer or mobile device).
Information Collection and Use

We collect several types of information for various purposes to provide and improve our Service.

Personal Data

While using our Service, we may ask you to provide certain personally identifiable information that can be used to contact or identify you (“Personal Data”), including but not limited to:

  • Email address
  • First name and last name
  • Phone number
  • Address, State, Province, ZIP/Postal code, City
  • Cookies and Usage Data
  • Caller information collected in connection with answering-service and call-handling services provided to our clients

We may use your Personal Data to contact you with newsletters, marketing or promotional materials, and other information that may be of interest to you. You may opt out of any or all of these communications at any time by: (i) following the unsubscribe link included in the communication; or (ii) contacting us at 385-393-1122 or support@jillsoffice.com to request that we not contact you by any method. When you make such a request, we will apply the corresponding do-not-contact (DND) setting to your account.

Usage Data

We may also collect information on how the Service is accessed and used (“Usage Data”). This information does not reveal your specific identity but may include your computer’s Internet Protocol (IP) address, browser type and version, the pages of our Service you visit, the time and date of your visit, time spent on those pages, unique device identifiers, and other diagnostic data.

Tracking & Cookies Data

We use cookies and similar tracking technologies to track activity on our Service and to hold certain information.

Cookies are files with a small amount of data that may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your device. We also use other tracking technologies, such as beacons, tags, and scripts, to collect and track information and to improve and analyze our Service.

You can manage or opt out of non-essential cookies at any time using the cookie preference control available in the bottom-left corner of our website. You can also instruct your browser to refuse all cookies or to indicate when a cookie is being sent; however, if you do not accept cookies, some portions of our Service may not function properly.

Examples of cookies we use:

  • Session Cookies – used to operate our Service.
  • Preference Cookies – used to remember your preferences and settings.
  • Security Cookies – used for security purposes.
Call, Text, and Chat Data

In providing Answering Service, AI Call Handling, Live Web Chat, SMS/Text, and Lead Zap services to our clients, we may collect and process:

  • Call recordings, transcripts, and AI-generated summaries of inbound and outbound calls
  • Text messages sent only in response to a caller’s own request to be texted back or texted instead of holding — we do not initiate outbound marketing texts, and we honor “STOP” opt-out requests
  • Chat conversations submitted through a Live Web Chat widget embedded on a client’s website
  • Lead contact information a client submits to us for outbound calling through Lead Zap — we do not cold call, and only contact leads a client has provided

Calls, texts, and chats handled through our Services may be monitored or recorded for record-keeping, training, and quality-assurance purposes, and callers, texters, and chat users may be informed that their interaction may be handled in whole or in part by an automated system.

AI Call Handling and Call Data Use

Certain call-answering, appointment-booking, and outbound-calling services may be performed in whole or in part by automated systems using artificial intelligence or similar technology (“AI Call Handling”). We may use call recordings, transcripts, and AI-generated summaries to operate, maintain, and improve our AI Call Handling services, including for model training, quality assurance, and error correction. In doing so, we do not retain or use client- or caller-identifying information as part of that training process; call data used to improve our AI systems is used in a de-identified or generalized manner and is not linked back to a specific client, caller, or account for training purposes. We do not use payment card information or protected health information for AI training or improvement under any circumstances, consistent with the PCI and HIPAA sections of this Policy.

At this time, we do not have a mechanism to exclude specific calls from this training use while still using AI Call Handling. A client who wants to avoid this use should decline to use our AI Call Handling services; contact your account manager or support@jillsoffice.com to discuss alternatives.

We do not use AI Call Handling or AI-generated summaries to process protected health information unless a compliant solution is in place and a Business Associate Agreement has been executed, and we do not use these features in connection with payment card data, consistent with the PCI statement below.

Use of Data

Jill’s Office LLC uses the collected data:

  • To provide and maintain our Service
  • To notify you about changes to our Service
  • To allow you to participate in interactive features of our Service
  • To provide customer support
  • To gather analysis or valuable information so that we can improve our Service
  • To monitor the usage of our Service
  • To detect, prevent, and address technical issues
  • To provide news, special offers, and general information about goods, services, and events similar to those you have already purchased or inquired about, unless you have opted out as described above
We Do Not Sell Your Personal Information

Jill’s Office LLC does not sell Personal Data — including contact information or caller information — to third parties in exchange for money or other valuable consideration, and we have not done so in the preceding twelve (12) months. Where we work with service providers (for example, analytics or advertising vendors) as described below, we do so under contracts that limit their use of your Personal Data to the purposes we authorize.

Transfer of Data

Information may be held at our offices in the United States. Your information, including Personal Data, may be transferred to — and maintained on — computers located outside your state, province, country, or other governmental jurisdiction where data protection laws may differ from those of your jurisdiction.

If you are located outside the United States and choose to provide information to us, please note that we transfer that data to the United States and process it there. Your consent to this Privacy Policy, followed by your submission of such information, represents your agreement to that transfer.

Jill’s Office LLC will take all steps reasonably necessary to ensure your data is treated securely and in accordance with this Privacy Policy, and no transfer of your Personal Data will take place to an organization or country without adequate controls in place to protect your information.

Disclosure of Data

Legal Requirements

Jill’s Office LLC may disclose your Personal Data in the good-faith belief that such action is necessary to:

  • Comply with a legal obligation
  • Protect and defend the rights or property of Jill’s Office LLC
  • Prevent or investigate possible wrongdoing in connection with the Service
  • Protect the personal safety of users of the Service or the public
  • Protect against legal liability
  • Transfer data to a buyer or successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Jill’s Office LLC’s assets
Data Retention

We retain your Personal Data only for as long as you maintain an active customer or business relationship with us. Once that relationship ends, we do not retain your Personal Data beyond what is required or permitted by applicable law — for example, records needed for tax, billing, or dispute-resolution purposes.

Personal Data subject to the Health Insurance Portability and Accountability Act (HIPAA) is retained, secured, and disposed of in accordance with HIPAA’s requirements and any applicable Business Associate Agreement (“BAA”). Where a BAA is in place, upon termination of the services covered by that BAA we will return or destroy protected health information in accordance with the BAA’s terms, rather than relying on the client’s own export of that data.

Security of Data

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored on secure servers behind firewalls, and payment transactions are encrypted using SSL technology.

The safety and security of your information also depends on you. Where we have given you (or you have chosen) a password to access certain parts of our Service, you are responsible for keeping that password confidential and should not share it with anyone.

No method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security, and any transmission of personal information is at your own risk.

We do not store or retain payment card information. Any portion of a call during which payment card data is collected or discussed is not recorded or retained.

Your U.S. State Privacy Rights

A number of U.S. states have enacted comprehensive consumer privacy laws (including, among others, California, Colorado, Connecticut, Virginia, Utah, and additional states whose laws have since taken effect). Where applicable to you, these laws may give you the right to:

  • Confirm whether we process your Personal Data, and access that data
  • Correct inaccuracies in your Personal Data
  • Delete your Personal Data
  • Obtain a portable copy of your Personal Data
  • Opt out of the processing of your Personal Data for targeted advertising or profiling in furtherance of solely automated decisions that produce legal or similarly significant effects
  • Appeal a decision we make in response to your request

As noted above, we do not sell Personal Data. To exercise any of these rights, contact us at support@jillsoffice.com or 385-393-1122. We will verify your request and respond within the timeframe required by applicable law (generally 45 days, which may be extended once by an additional 45 days when reasonably necessary). If we decline a request, you may appeal by replying to our response; we will inform you of the outcome and, where applicable, how to submit a complaint to your state attorney general or other regulator. We will not discriminate against you for exercising any of these rights.

Your California Privacy Rights

This section supplements the rights described above for California residents under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA/CPRA”).

In the preceding twelve months, we have collected the categories of Personal Data described in this Policy (identifiers, contact information, and internet/usage activity) for the business purposes described above. We do not sell or share (as “share” is defined under the CPRA for cross-context behavioral advertising) Personal Data for monetary or other valuable consideration outside the ordinary service-provider relationships described in this Policy.

You may also exercise rights under California’s “Shine the Light” law (Civil Code § 1798.83), which permits California residents to request information regarding disclosure of personal information to third parties for their direct marketing purposes. Service Providers

We may employ third-party companies and individuals (“Service Providers”) to facilitate our Service, provide the Service on our behalf, perform Service-related functions, or assist us in analyzing how our Service is used. These third parties have access to your Personal Data only to perform these tasks on our behalf and are contractually obligated not to disclose or use it for any other purpose.

We use a limited number of third-party providers to operate our own infrastructure and deliver Services to our clients, including WP Engine (website hosting), Go High Level (client relationship management), AssemblyAI (AI-based call processing), and Amazon Web Services (server and data-processing infrastructure). These providers process data only as necessary to support our Services and are contractually restricted from using it for their own independent purposes.

Analytics

We may use third-party Service Providers, such as Google Analytics, to monitor and analyze use of our Service. You can opt out of having your activity made available to Google Analytics by installing the Google Analytics opt-out browser add-on. Behavioral Remarketing

We use remarketing services to advertise on third-party websites after you have visited our Service. We and our third-party vendors use cookies to inform, optimize, and serve ads based on your past visits to our Service, including through Google Ads, Facebook, and AdRoll. You can manage or opt out of these services through each provider’s advertising preference settings (for example, Google Ads Settings, Facebook ad preferences, and AdRoll’s advertising preferences page), or through industry opt-out tools such as the Digital Advertising Alliance (http://www.aboutads.info/choices/).

Links to Other Sites

Our Service may contain links to other sites that are not operated by us. If you click a third-party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party sites or services.

Children’s Privacy

Our Service does not address anyone under the age of 18 (“Children”). We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and are aware that your Child has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from a child without verification of parental consent, we take steps to remove that information from our servers.

Correcting Your Information

You can review and update your personal information by logging into the Service and visiting your account profile page. You may also email support@jillsoffice.com to request access to, correction of, or deletion of any personal information you have provided to us. We cannot delete your personal information except by also deleting your user account, and we may decline a request to change information if we believe doing so would violate any law or legal requirement or cause the information to be incorrect.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and, prior to the change becoming effective, via email and/or a prominent notice on our Service. We will update the “Effective Date” at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes; changes are effective when posted on this page.
