  • Services means our website and the services we provide to clients, including live answering, AI call handling, live web chat, SMS/text, appointment scheduling and dispatching, Lead Zap, and the client portal.
  • Personal Data means information about a living person who can be identified from that information, alone or combined with other information we have.
  • Usage Data means information collected automatically when you use the Website, such as how long you spend on a page.
  • Cookies are small files stored on your device.

Information We Collect

We collect several types of information so we can provide and improve our Services.

Personal Data

While you use our Services, we may ask you for Personal Data that can be used to contact or identify you. This may include:

  • Email address
  • First and last name
  • Phone number
  • Address (street, city, state/province, ZIP/postal code)
  • Cookies and Usage Data
  • Caller information we collect on behalf of our clients while handling their calls

We may use your Personal Data to send you newsletters, marketing or promotional materials, and other information that may interest you. You can opt out at any time by using the unsubscribe link in our emails, calling (385) 393-1122, or emailing support@jillsoffice.com. When you opt out, we place a do-not-contact setting on your record.

Usage Data

When you visit the Website, we may collect information your browser sends, such as your IP address, browser type and version, the pages you visit, the date and time of your visit, time spent on those pages, device identifiers, and other diagnostic data. Some of this information, such as your IP address, can be linked to you, and we treat it as Personal Data where the law requires.

Tracking and Cookies

We use cookies and similar technologies, such as beacons, tags, and scripts, to track activity on our Website and to improve and analyze it. We use:

  • Session cookies to operate the Website
  • Preference cookies to remember your settings
  • Security cookies for security purposes
  • Analytics and advertising cookies to understand how the Website is used and to measure and improve our ads

You can accept, reject, or change your cookie choices at any time with the cookie preference control at the bottom-left corner of our Website. You can also set your browser to refuse cookies or to alert you when cookies are sent. If you refuse cookies, some parts of the Website may not work properly.

Call, Text, and Chat Data

When we provide answering services, AI call handling, live web chat, SMS/text, and Lead Zap services to our clients, we may collect and process:

  • Call recordings, transcripts, and AI-generated call summaries
  • Text messages, which we send only when a caller asks to be texted or asks for a text back
  • Chat conversations from web chat widgets on our clients’ websites
  • Contact details of leads that our clients submit to us for outbound follow-up calls

We do not send marketing or promotional text messages, and we honor “STOP” requests. We do not cold call. We contact only the leads our clients give us.

Calls, texts, and chats may be monitored or recorded for record-keeping, training, and quality assurance. Callers may be told that an automated system is handling their interaction.

Text Messaging (SMS)

We do not sell, rent, or share mobile phone numbers or text messaging consent with third parties or affiliates for their marketing or promotional purposes. Text messaging opt-in data and consent are never shared with third parties, except service providers that help us deliver messages. You can reply STOP at any time to stop receiving texts, or HELP for help. Message and data rates may apply.

AI Call Handling and Use of Call Data

Some call answering, appointment booking, and outbound calls may be handled partly or fully by artificial intelligence (AI).

We may use call recordings, transcripts, and summaries to run, maintain, and improve our AI services, including training, quality assurance, and error correction. Data used for AI training is de-identified or generalized so it is not linked to a specific client, caller, or account.

  • We do not use payment card information for AI training.
  • We do not use protected health information (PHI) with AI features unless a compliant solution and a Business Associate Agreement (BAA) are in place.

We cannot currently exclude individual calls from AI training. If you are a client and do not want your call data used this way, you can decline AI Call Handling or contact your account manager or support@jillsoffice.com.

Data Retention

We keep Personal Data only while we have an active customer or business relationship with you. After that, we keep it only as long as the law requires or allows, such as for tax, billing, or dispute resolution records.

Data covered by HIPAA is handled under HIPAA and any Business Associate Agreement (BAA) in place. When a BAA ends, PHI is returned or destroyed as that BAA requires.

Security of Data

We protect your information with secure servers behind firewalls, and we use TLS encryption for payment transactions. You are responsible for keeping your account password confidential.

We do not store payment card data. Card information shared during a call is not recorded or kept.

No method of sending or storing data over the internet is 100% secure. We use commercially reasonable measures to protect your Personal Data, but we cannot guarantee absolute security.

If you are not satisfied with the outcome of your appeal, you can contact your state attorney general or privacy regulator.

We will not discriminate against you for using any of these rights.

Your California Privacy Rights

If you are a California resident, you have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA).

In the past 12 months we collected these categories of Personal Data: identifiers, contact information, and internet or other electronic activity (Usage Data). We do not sell Personal Data, and we do not share it for cross-context behavioral advertising outside our service provider relationships.

Under California’s “Shine the Light” law (Civil Code § 1798.83), California residents can ask for information about any disclosures of Personal Data to third parties for their direct marketing purposes. To make that request, email support@jillsoffice.com.
