Action Items: Call Summaries That Keep You Up To Date

A common question we get when talking to potential clients is “how do I know how your Jills are handling my calls?” A great question! Handing off the responsibility of your phones to a virtual receptionist, whether it’s 24/7 inbound answering, after hours, or having our outbound team follow up on your leads, how do you know what is going on with your calls?

One way is listening to the recordings of the calls in the Jill’s Office Portal. The other is our Action Items.

What are Action Items?

They are the call summaries that our Jills send after every call. Action Items contain several things: Lead information, which services they are interested in, and a written summary by our Jills detailing what actions they took on the call and what questions the caller had.

Where do I find Action Items?

Action Items are only as important as your ability to read them. So where do you find action items? Action Items can be found in your Jill’s Office Portal (accessed either on your computer or via our mobile app, Jill’s Office on the app store) in the Action Item folder. They are also sent via email, by default the email you used when signing up. Though we can add or remove emails that receive Action Items per request. If you have the mobile app downloaded on your phone, and you are logged into it, you can receive notifications when Action Items come through by turning them on in your phone settings.

Can I receive Action Items by text message?

By default, no. If you have a Zapier account it is possible to set up an integration so that you can receive Action Items by text message. At the time of writing this, the feature does not work with T-Mobile. Book a discovery call for more information on this.

Am I able to filter which Action Items I receive to my email?

When receiving Action Items to an email, it is either all or nothing. This includes not being able to dictate which Action Items go to which email. The only caveat is for cases like: caller disconnects, sales calls, robo calls, are filtered so that they do not go to your email. They can still be found in the “Closed Action Item” folder in the Jill’s Office Portal.
